Guidelines for Specific Categories of Records

Curriculum Development/Teaching Materials

Items that should be kept by the official repository:

  • Accreditation records and reports
  • Authorizations for new programs and classes
  • Correspondence regarding curriculum planning and review
  • Final reports and working papers concerning the development and review of programs and courses
  • Meeting minutes and supporting materials from departments, committees, and advisory bodies concerning curriculum planning, development, and review
  • Policies and procedures
  • Proposals for new courses or programs
  • Publications concerning courses and course requirements (2 copies from the units authoring the publications)
  • Reviews, studies, and evaluations
  • Topical files and correspondence of provost, deans, and academic department and program chairs
  • Course syllabi and reading lists
  • Lecture notes and/or transcripts of lectures of faculty and guest lecturers
  • Video recordings, audio recordings, and photographs of classroom lectures, work, and presentations

Grant Administration

Items that should be kept by the official repository:

  • Documentation of procedures followed to meet professional standards and satisfy conditions set by granting agencies
  • Copyright records
  • Proposal
  • Planning and proposal development records
  • Policies and procedures
  • Research notes
  • Final product of the research

Centers

Items that should be kept by the official repository:

  • Annual reports
  • Missions and vision statements of the research centers
  • Copyright records
  • Policies and procedures
  • Project files
  • Publications and forms produced from research initiatives
  • Unpublished reports regarding research projects

Faculty Personal Papers

Definition: Personal or private papers neither created nor received in connection with the University's business. These materials may be of interest to the University Archives. Please consult with University Archivist if you would be interested in donating your personal papers.
